Position Overview

We are seeking a proactive and detail-oriented Coordinator to support Tech.mt’s operational functions. This role will primarily assist the Manager (Operations) in procurement, administration, and accounting tasks, including purchase orders and invoicing. The Coordinator will ensure smooth day-to-day operations, maintain accurate records, and support compliance with organisational policies and regulatory requirements.

Key Responsibilities:

  • Lead the procurement processes, including tenders, call for quotations, raising purchase orders, liaising with suppliers, contract management and maintaining procurement records.
  • Support administrative functions, such as office management, document handling, scheduling, and general coordination of office activities.
  • Assist in basic accounting tasks, including processing invoices, recording transactions, and supporting budget monitoring.
  • Maintain accurate and up-to-date records of financial and operational transactions, ensuring compliance with internal policies.
  • Support the Manager (Operations) in auditing and compliance-related activities by providing relevant documentation and reports.
  • Coordinate with internal teams to ensure timely execution of operational tasks and smooth communication across departments.
  • Assist in preparing routine operational and financial reports for review by the Manager.
  • Ensure adherence to organisational policies, including data protection (e.g., GDPR) and other regulatory requirements.
  • Perform other duties as assigned by the Manager (Operations) or Head of Unit.

Skills & Competencies:

  • Experience in procurement, administration, or accounts support, including handling purchase orders and invoicing.
  • Basic understanding of accounting principles and financial record-keeping.
  • Strong organisational skills, attention to detail, and ability to manage multiple tasks efficiently.
  • Good communication skills and ability to coordinate with internal and external stakeholders.
  • Proactive, reliable, and able to follow instructions while taking initiative where appropriate.
  • Familiarity with office management tools, financial software, and basic reporting practices.
  • Ability to work under supervision and support cross-functional operational initiatives effectively.

The role also requires business travel and mandatory attendance at events outside regular working hours, including evenings, weekends, and public holidays, as necessary.

Furthermore s/he will be expected to assist in other duties as may be directed from time to time either by the Head of the Unit or by any other official to whom the Head’s authority is delegated.

Qualifications & Experience

Applicants must be in possession of one of the following:

  1. Preference will be given to candidates who possess a University of Malta Degree in Operations Management, Business Administration, Finance, or related domain area (MQF level 6);
    or
  2. Consideration will also be given to Candidates with a Diploma in Operations Management, Business Administration, Finance, or related domain area (MQF level 5) and three (3) years prior work experience in the field/s of Operations, Business Administration, Finance, or a related domain area, preferably in multi-functional roles covering finance, auditing and procurement,
    or
  3. Candidates who at least possess five (5) years’ experience in the field/s of Operations, Business Administration, Finance, or a related domain area, preferably in multifunctional roles covering finance, auditing and procurement.

Position Overview

We are seeking a proactive and detail-oriented Coordinator to support our efforts in expanding partnerships, securing funding opportunities, and strengthening our engagement with European institutions and stakeholders.

Key Responsibilities:

  • Assist in the coordination and administration of EU and locally funded projects and programmes undertaken by Tech.mt, ensuring alignment with organisational objectives, strategic priorities, and established timelines.
  • Support the identification, preparation, and submission of EU and international funding applications, ensuring compliance with relevant guidelines and maintaining accurate documentation.
  • Monitor project implementation and performance, preparing regular progress reports and communicating key updates to management and relevant stakeholders.
  • Coordinate with internal teams, government entities, EU institutions, industry partners, and other stakeholders to ensure effective implementation of initiatives, addressing challenges proactively and escalating issues when necessary.
  • Contribute to the development of project plans, including defining deliverables, timelines, budgets, and resource allocation, and monitor adherence to these plans.
  • Conduct research and analysis to identify emerging opportunities, funding programmes, partnerships, and trends relevant to the technology and innovation ecosystem in Malta and the EU.
  • Support business development initiatives by identifying potential partners, fostering new collaborations, and assisting in the design and promotion of initiatives that attract investment and enhance the visibility of Malta’s digital and technology sectors.
  • Engage in outreach activities, including representing Tech.mt at business forums, trade fairs, networking events, and stakeholder meetings at both national and European levels.
  • Contribute to the preparation of marketing and communication materials, presentations, and reports that showcase Tech.mt’s initiatives, achievements, and opportunities for collaboration.
  • Support the organisation of events, workshops, and international delegations, ensuring effective stakeholder engagement and follow-up on outcomes.
  • Assist in evaluating the outcomes and impact of completed projects and initiatives, preparing analytical reports and recommendations for improvement.
  • Build and maintain strong relationships with key stakeholders, including EU institutions, business networks, technology clusters, and partner organisations, to advance Tech.mt’s strategic objectives.

Skills & Competencies:

  • Experience in project coordination, EU affairs, business development, or stakeholder engagement.

Position Overview

We are seeking a highly strategic Senior Manager of Operations to lead and optimise Tech.mt’s key operational domains, including finance, auditing, procurement and administration. Reporting directly to the CEO, this role combines operational leadership with strategic oversight, ensuring Tech.mt operates efficiently, complies with regulatory frameworks, and is positioned for sustainable growth. The Senior Manager will act as a trusted advisor to the CEO, driving decision-making through insight, governance, and operational excellence.

Strategic Responsibilities:

  • Lead and manage Tech.mt’s accounts, ensuring accurate financial management, budget oversight, and strategic financial planning.
  • Oversee auditing processes, ensuring compliance with internal policies, regulatory standards, and best practices.
  • Direct procurement operations, establishing strategic sourcing strategies, managing supplier relationships and contracts, optimising cost-efficiency.
  • Develop and execute operational strategies that support operational resilience, cost-effectiveness, and performance metrics.
  • Ensure operational governance, risk management, and compliance across all business functions.
  • Analyse operational performance data, identify risks and opportunities, and provide actionable insights for decision-making.
  • Ensure timely exchanges of information in accordance with GDPR and other regulatory frameworks.
  • Oversee administrative operations, ensuring effective management of facilities, office functions, and organisational support services. Drive the development and implementation of administrative policies and process improvements to optimise efficiency, resource utilisation, and overall operational excellence.
